Recall & Resend Emails in Outlook for Mac


We've all been there – hitting "Send" too soon, whether it's forgetting a detail or sharing more than intended. Luckily, Outlook for Mac now supports email recall and resend, letting you take back messages sent to Microsoft 365 accounts within the agency!

Why Recall  Email: 
Recall means Removing an unread email from recipients' inbox. 
Recalling an email can help maintain professionalism, prevent potential misunderstandings and several reasons. Such as:

1. Mistakes: If you realize you've sent an email with errors, such as typos, incorrect information, or missing attachments, recalling it allows you to correct these mistakes.
2. Wrong recipient: If you accidentally send an email to the wrong person or group, recalling it can prevent unintended recipients from reading the message.
3. Sensitive information: If you send an email containing sensitive or confidential information to the wrong person, recalling it can help protect that information.
4. Updated information: If you need to provide updated or additional information, recalling the original email and sending a revised version can ensure the recipient has the most accurate details.
Recalling an email can help maintain professionalism and prevent potential misunderstandings or issues.

How to Recall an email:

1. Open the Sent Items folder: In the left folder pane, select "Sent" to view your sent emails.



2. Open the email: Right-click the email you want to recall and select recall. You can also recall a message from the ribbon at the top. Click the sent folder -> click on the message you want to recall. -> Select Message button on the ribbon. -> Click on recall and confirm the recall by selecting "OK" in the dialog box that appears.



 You'll receive a Message Recall Report in your inbox shortly after, indicating whether the recall was successful, pending, or failed.
 

Why Resend?

 Resend lets you edit the message and add additional recipients without starting from scratch. This Outlook tool helps to safely replace the old Outlook message with the newly edited one.

How to use it:

  1. Locate the email in Sent Items,
  2. Right-click and select Resend,
  3. Complete the editing and
  4. Click send

 Important Notes:

  • This feature only works for emails sent to recipients with a Crossmedia email address.
  • Recall is not guaranteed – it depends on recipient’s email settings, storage, and internet connection
